In Flight - Seeing Where Work Is Stuck

Scan every document in progress, see which stage it's sitting in, and find out who's holding it up.

Overview

In Flight is the team-wide view of everything currently moving through approval. Where the calendar shows what's due and the content list shows what exists, In Flight answers a different question: what is stuck, and who is holding it?

Find it in the sidebar under Reports → In Flight. It's available to admins.

The Summary Line

At the top you'll see counts of how many documents are stuck, how many are at risk, and how many are in flight overall — each with last week's figure alongside it so you can tell whether things are getting better or worse.

Week-over-week comparisons are hidden for smaller workspaces, where a swing of two or three documents reads as alarming without actually meaning anything.

Stage Tiles

Below the summary, a tile for each stage — Draft, Internal Review, Client Review, Revisions, Approved — shows how much work is sitting there, plus a Blocked tile. Each tile carries a small trend line so you can see whether a stage is filling up or draining.

The Bottleneck Banner

When one client or person is responsible for a disproportionate share of the delay, an amber banner names them directly — for example, "Apex Brands is holding 2 documents — 14d cumulative delay." If the same bottleneck has recurred for two or more weeks running, it's labelled as a pattern rather than a one-off.

The banner is deliberately specific. A dashboard that tells you "Client Review is slow" isn't actionable; one that tells you which client is sitting on which documents is.

Filtering and Sorting

Narrow the list by client or stage, and sort by:

  • Time in stage — surface the longest-waiting work first

  • Last activity

  • Title or client name

Your filters are held in the page URL, so you can bookmark a view you check often or paste it to a colleague.

Sending a Reminder

Each card has a menu with a Send reminder action, so you can nudge whoever's holding a document without leaving the page. Click the card itself to open the document.
