Workflow Templates

Save reusable approval workflows and apply them to any document.

Reusable Approvals

If you run the same approval process again and again, save it as a template. Define the reviewer stages, decision rules, deadlines, and reminders once, then apply the template to any document in one step. Reusable multi-stage templates are available on the Professional and Agency plans.

Creating a Template

  1. Go to Settings → Approval Templates and click “New Approval Template”
  2. Name your first stage (e.g., “Editor Review”) and add reviewers
  3. Set how long reviewers have to respond and whether all reviewers must sign off or any one can advance
  4. Add more stages, conditional branches, or post-stage notifications as needed
  5. Save the template

Starter Templates

Don’t want to start from scratch? Browse the Approval Template Library for ready-made templates covering common scenarios — internal blog review, social client approval, press releases with a legal gate, and many more — then customize one to fit.

Defaults

Admins can set an account-wide default approval workflow that applies when a document has no client- or campaign-level workflow set. You can also set a default workflow per client. See Managing Clients.
